Terms of Use
Last updated: 18 October 2026
1. Who provides the service
The Paloma365 cloud service (the “Service”), including the Paloma365 app (plugin) for ChatGPT and the Paloma365 AI connector, is provided by Paloma365 LLP (ТОО «Paloma365»), BIN 160940016674, registered address: 62 Muratbayev St., Almaly District, Almaty, 050004, Republic of Kazakhstan; email: info@paloma365.com; phone: +7 747 391 26 66.
2. The governing agreement
Use of the Service is governed by the Public Offer Agreement for access to the PALOMA365 cloud automation service (the “Offer”), in Russian, current version of 8 July 2026: https://dashboard.paloma365.com/oferta (PDF: https://dashboard.paloma365.com/files/oferta_Paloma365.pdf); the same text is published on this website at paloma365.kz/terms. The Offer is the main agreement between the Operator and the customer. Using the ChatGPT plugin and AI connectors is part of using the Service under the Offer.
These Terms of Use are an English-language summary for users of the ChatGPT plugin and AI connectors. They do not amend the Offer. If anything in these Terms differs from the Offer, the Offer in Russian prevails.
How personal data are processed is described in the Privacy Policy, including section 13 on AI connectors and the ChatGPT plugin.
3. Using the ChatGPT plugin and AI connectors
3.1. Who may connect
A Paloma365 account can be connected to ChatGPT or another AI assistant only by the account owner or by an employee who has the “Administrator (management mode)” interface in that account. Cash register, workstation and time-clock logins cannot be used. Sign-in takes place on a Paloma365 page; the Paloma365 password is not passed to the AI service. By connecting, the user confirms that they are authorised by the customer (the business that holds the account) to give the AI service access to the account’s data.
3.2. What the plugin does
- Reads (always): items and item groups, units, the reference lists needed for documents and settings (warehouses, organizations, suppliers, buyers, price types, cash-flow categories, trade points, workplaces), the account’s documents and calculations (recipes).
- Reads with an extra permission: analytical reports (stock balances, cash and bank account balances, sales) and a limited set of app settings.
- Changes with the write permission: edits item cards (name, price, article code, description), creates items and item groups, and creates drafts of warehouse documents — goods receipt, stock entry, write-off, transfer, return from a buyer, return to a supplier, stock count.
3.3. What the plugin does not do
The plugin does not conduct documents (drafts do not change stock or money until a person conducts them in the Paloma365 dashboard); does not create or change cash, bank or sales documents; does not create suppliers or calculations; does not set up the account (trade points, workplaces, employees, logins, passwords, permissions); does not change settings; and does not delete records.
3.4. Confirming changes
Every change takes two steps. The assistant first prepares a preview of the change, which writes nothing. The change is applied only by a separate confirmation step, which the assistant must call only after the user has seen the preview and agreed. A preview is valid for about 5 minutes and can be used once; each confirmation changes or creates exactly one record. Paloma365 does not see the conversation in ChatGPT and cannot check how the user’s agreement was expressed there, so the user should read each preview carefully before agreeing.
3.5. Permissions and revoking access
When connecting, the user chooses the permissions on the Paloma365 consent screen; without extra permissions the access is read-only. Access can be revoked at any time in the Paloma365 dashboard: “Settings” → “AI Connector (MCP)” → “Active tokens” (“Revoke” for one connection, “Revoke all” for all). The account owner can revoke the connections of all employees of the account. A revoked connection stops working. Everything the assistant did through the connector can be reviewed in “Settings” → “MCP log”.
3.6. The user’s responsibility
- Changes applied through a connection are made on behalf of the person who created that connection, within the permissions they granted. The user is responsible for the changes they confirm in the chat and for actions performed through their connection.
- The user chooses which AI service to connect and accepts that service’s own terms and privacy policy (for ChatGPT — OpenAI’s terms and policies). Data sent to the AI service are processed by its provider.
- The customer remains responsible for having a legal basis to share with the AI service any personal data of its employees, customers and counterparties stored in the account (clauses 12.4 and 15.5 of the Offer).
- Connection credentials and access to the ChatGPT account must be kept secure.
3.7. AI can make mistakes — check the results
Answers in ChatGPT are generated by an AI model, not by Paloma365, and may be inaccurate, incomplete or out of date. Before relying on them — especially for prices, stock, money, accounting or tax decisions — check the figures in the Paloma365 dashboard, and check every preview before confirming a change. Paloma365 does not control the AI model’s answers. The liability of the Operator is governed by the Offer (including sections 9 and 15).
